Co-ordination Services

At Louvain, we are committed to making your wedding planning experience as seamless and enjoyable as possible.

Couples considering our venue are warmly invited to enjoy a complimentary one-night stay on the farm, which includes a comprehensive tour of the venue, onsite churches, and surrounding area.

Co-ordination services include:

  • Multiple planning consultation with our experienced staff and dedicated coordinator, Jonita, to bring your vision to life.
  • Mock set-up and décor discussion, including floral concepts and additional lighting needs.
  • Laising with suppliers and vendors on your behalf to ensure clear communication and smooth execution.
  • Menu and beverage planning , tailored to your preferences.
  • Budget assistance and support in selecting appropriate vendors.
  • Design and arrangement of detailed floor plans for the ceremony and reception
  • Guidance and assistance in making any necessary final changes before your big day.

The Clubhouse

The Clubhouse is an ideal venue for hosting pre-wedding celebrations, offering a warm and inviting atmosphere to welcome your guests the day before your special occasion. This versatile space is fully equipped with bar facilities, a fully functioning kitchen, and all the necessary amenities to ensure a seamless and enjoyable experience.

Often utilised for Friday evening dinners as well as Saturday and Sunday breakfasts, The Clubhouse offers flexibility to suit a variety of functions. In addition to its popularity as a pre-wedding gathering space, it is also suitable to be used as a wedding reception venue.

Should the bridal couple wish to host their own catered event at The Clubhouse prior to the wedding, a venue hire fee of R100 per person will apply.

Catering

Our catering is based on a per person rate, which includes a selection of canapés, a main course, vegetables or salad, and dessert.
Plated meal options are also available at an additional cost.

We are proud to work with our highly experienced chef, Sonja, who, together with her dedicated kitchen team, prepares approximately 30,000 meals annually. She is also available to cater for all weekend meals, should you require extended services.

For 2026, the catering rates for the main wedding reception are estimated at R625 to R700 per person. 
Please note that 2027 catering prices may be subject to change due to food inflation and market fluctuations.

Please note that all menus will be refined and finalized in collaboration between the Chef Sonja and the bridal couple, ensuring that the selections reflect your personal preferences and dietary requirements.

Drinks & bar

Our guest farm features two fully licensed bars available for use with prior arrangement.

On Saturday afternoons, pre-drinks are served following the wedding ceremony during the canapé hour at our outdoor gin counter or designated pre-drinks bar. This service includes professional barmen, full preparation of ice, beverages, and condiments.

This is an optional add-on service offered at R1,000.00 for a duration of 2-3 hours.

The cost of pre-drinks ranges between R75 – R100 per person, depending on the selected beverages.

Final selections and pricing can be confirmed by the bridal couple in consultation with our team.

Bridal couples are welcome to bring their own wine; howevera corkage fee of R50 per bottle will apply.

Wedding Accommodation

Louvain Guest Farm offers exceptional accommodation for over 160 guests. Our beautiful property features 13 luxurious guesthouses, with up to 80 beds, as well as 40 stunning luxury tents, accommodation up to 80 guests.

The Bride and Groom strictly do all the allocations of guests in our guesthouses and luxury tents, months before the wedding.

Our Options:

Guest Houses

Two night booking – R500.00 per bed per night
(R1000.00 total per person for 2 nights).
Single night booking – R700.00 per bed.

Glamping Units

Two night booking – R1400.00 per tent (2 sleeper) – R350 per night per bed.
One night booking – R1000.00
Per tent (2 sleeper) – R500.00 per bed per night.

What is provided:

Our units are 100% self catering, the following is provided for you:

  • Linen and towels
  • Fridge, microwave, kettle, stovetop, braai facilities, 1x bag of wood, (the larger units have ovens installed)
  • Tea and coffee station
  • Peace and tranquility
